Sympa Mailing List FAQs

Q.    How do I request a new mailing list?

A.    Submit a request for a Sympa Mailing List from the myJH Portal. A visual walk through is also available here.


Q.   Is the mailing list service free?

A.   Yes, the mailing list service is free of charge to any affiliate (faculty, staff, student) of the Johns Hopkins community.


Q.  How do I send a message to my list?

A.  There are two ways to send a message to your list:

  • Compose an email with any email client and send the message to the list address: list name@lists.johnshopkins.edu.
  • Go to http://lists.johnshopkins.edu, click on the list under “Manage Your Subscriptions”, and use the “Post” link on the list’s homepage. (NOTE: This method only supports text-formatted messages to be sent to the list. Please use an HTML-enabled email client to send HTML-formatted messages to your list.)

Q.  How do I add additional owners/moderators to my list?

A.  Go to (http://lists.johnshopkins.edu), click on the list under “Manage Your Subscriptions”. On the left side of the page, go to Admin > Edit List Config > List Definition. (NOTE: There will be only one (1) new field at a time under the “Owners” and “Moderators” sections. In addition, this is only available to the current owners of a mailing list.)


Q.  What is the difference between a static and dynamic list?

A.   A static list is manually populated and updated by the list owners. It will be the list owners’ responsibility to maintain the subscribers list. A dynamic list has its subscribers list updated by an external source such as a database.


Q. How does Sympa know what my email address is when I log in with my JHED Lid?

A. Sympa looks up your preferred email address from the Johns Hopkins online directory. Whenever you subscribe to a mailing list, Sympa will use this address to add your subscription to the list. Sympa also uses it to determine which lists you're on and whether not you're an owner or moderator of any lists. If you are not receiving any messages from any lists you're subscribed to in Sympa, it's possible that this address is incorrect or is forwarding to an account you're not checking. The best way to find out what email address Sympa is using is to login into JHED, http://my.johnshopkins.edu and select myProfile / myProfile / Default Email check to see what email address is displayed for you. If this is incorrect, you should change it to your preferred or primary email alias/address. If the correct email address is displayed, then you should check the Enterprise Address Book within JHED by clicking on JHED / Email Alias and at the bottom of the page see what alias has been selected for the Enterprise Address book. Note: Changes made to your alias can take up to 15 minutes to process.


Q. I changed my preferred email address and now I can't see any of my lists. Why not?

A. Unfortunately this is a drawback with how Sympa currently works. If you change your email address in JHED, then Sympa will no longer recognize you as being subscribed to, owner of, or moderator of any of your previous lists. A Sympa listmaster will have to go through and update your subscriptions, so please submit a request to the Help Desk. Include in that help request both your old and new preferred email address. We apologize for any inconvenience this may cause.


Q.What commands are available for the email interface?

A. You can run some commands and operations with Sympa through the “email interface.” By sending a message to Sympa Server with nothing in the body but the word HELP you'll be sent a help guide that covers how to run commands via email. Please make sure you're either sending out plain-text messages or are including minimal formatting (no special fonts or colors and no images) in any rich-text messages.


Q. Why can't I post to a subscribers-only list to which I'm subscribed?

A. If your postings are being rejected by the list and returned to you, it's highly likely that you're posting using an address that's not on the list. When you send mail using the client, it reports the message as being from the account's “From:” address. This is what Sympa checks to determine whether or not you're allowed to post to a list, for most lists configured to only allow subscribers or any other select group of people to post.

Restricted to subscribersUse this mode if you want only subscribers, list owners, and moderators to be able to send messages to the email list. Any messages sent by others will be rejected.
ModeratedUse this mode if you want any messages sent to the email list to be moderated (approved by the moderator), except for messages from moderators. Moderators receive an email notification when a message that needs to be moderated is sent to the email list.
Moderated, even for moderators Use this mode if you want any messages sent to the email list to be moderated (approved by the moderator), including messages from moderators. Moderators receive an email notification when a message that needs to be moderated is sent to the email list.
Moderated, with editor confirmationUse this mode if you want any messages sent to the email list to be moderated, except for messages sent by moderators. When a moderator sends a message, they receive a confirmation email asking them to confirm their email (involves following a link or sending an email to Sympa with a certain authentication code) in order to have their message sent to the list.
Restricted to local domainOnly users on the domain can post.
Restricted to local domain and subscribersUse this mode if you want only subscribers, list owners, moderators, and people on the local network to be able to send messages to the email list. Any messages sent by others will be rejected.
Newsletter, restricted to moderatorsUse this mode if you only want moderators to be able to send messages to the email list. Any messages sent by others will be rejected.
Newsletter, restricted to moderators after confirmationUse this mode if you only want moderators to be able to send messages to the email list, and messages from moderators must be moderated. Any messages sent by others will be rejected.
Restricted to subscribers check S/MIME signatureUse this mode if you want only subscribers, list owners, and moderators with S/MIME signatures to be able to send messages to the email list. Any messages sent by others will be rejected.
Moderated, restricted to subscribersUse this mode if you want only subscribers and moderators to be able to send moderated messages to the email list. Any messages sent by others will be rejected. All posts are moderated except for posts from the moderator. Any messages sent by others will be rejected.
Moderated, for non subscribers sending multipart messagesUse this mode if you want only subscribers, list owners, and moderators to be able to send messages to the email list. Any messages sent by others, and messages with attachments will be moderated.
Restricted to subscribers with previous md5 authenticationUse this mode if you want only subscribers to be able to send messages to the email list after their email is confirmed. Upon sending a message, the subscriber receives a confirmation email asking them to confirm their email (involves following a link or sending an email to Sympa with a certain authentication code).
Moderated, for subscribers and moderatorsUse this mode if you want only subscribers, list owners, and moderators to be able to send messages to the email list after their email is confirmed. Upon sending a message, the subscriber receives a confirmation email asking them to confirm their email (involves following a link or sending an email to Sympa with a certain authentication code).
Private, moderated for non subscribersUse this mode if you want only subscribers, list owners, and moderators to be able to send messages to the email list without confirmed. When an non-subscriber sends a message, he or she receives a confirmation email asking them to confirm their email (involves following a link or sending an email to Sympa with a certain authentication code).
Public listUse this mode if you want anyone to be able to send a message to the email list.
Public list, Bcc rejected (anti spam)Use this mode if you want anyone to be able to send a message to the email list, except for message using bcc, which are rejected.
Anyone with previous md5 confirmationUse this mode if you want anyone to be able to send messages to the email list after their email is confirmed. Upon sending a message, the subscriber receives a confirmation email asking them to confirm their email (involves following a link or sending an email to Sympa with a certain authentication code).
